Robot Track Meet Release Agreement
I hereby grant and authorize the Robot Track Meet Association (RTMA), its employees and agents to make use of, license or assign the use of, my image, appearance, likeness, voice and/or photograph, and other reproductions of any of these, in still photographs, videotapes, publications, audio, sound recordings, web sites, electronic and other media and/or motion pictures, (hereinafter all of which are included in the term 'Material') and to do so without mention of my name. See the RTMA Privacy Policy for additional information. I understand and agree that I am to receive no compensation of any kind, monetary or otherwise, on account of or arising from the production, publication, recording, rebroadcasting, or other use of such Material. RTMA shall have complete ownership of the Material produced or published and shall have the exclusive right and license to make such use of that Material as it wishes, including, but not limited to the right of performance, display, reproduction and distribution in all media, and the right to create, perform, display and distribute derivative works of the material. I hereby release the Robot Track Meet Association and its parent organization Maine Robotics, its employees and agents from all expenses, claims and liabilities incurred by me arising out of or in connection with my appearance and/or the use of the Material, except to the extent that those expenses, claims or liabilities are the direct result of the negligent acts or omissions of the RTMA, its employees or agents. I understand that I will be attending a public event and that the RTMA shall not be responsible for the actions, publication, or airing of any written or broadcast media associated with said public events, or by other event participants. This agreement shall be governed and constructed according to the laws of the State of Maine. |

Privacy Policy

- Any photograph, statement, or recording of any minor, used in connection with any marketing, website, or printed material will not include any personal identifiers.
- The RTMA has no control over press material (television, radio, newspapers, etc) that is collected at a public event run by the RTMA and over which Maine Robotics has no control.
- The Robot Track Meets are, by nature, open to the public and media.
- All personal information regarding participants is held in confidence.
- This information is available to the program director when participants are present at events where such information is required to be present. This information is not shared with anyone except as needed with event staff in order to ensure a safe experience for the participants.
- This information is also tendered to any medical personnel who are required to treat a participant.
- Information on age, gender, and grade level are often collected to serve as tools in providing programs that match these groups or in the development of programs that are more appealing to all sub groups. This information may also be used in reporting to granting agencies or in grant and foundation applications. This information is not used for any other purpose.
- Registration, attendance, or other material collected by the Robot Track Meet Association will not be given, sold, or transferred to any other group except in such a case as the Robot Track Meet Association or its parent organization, Maine Robotics, is transferred or sold to another non-profit entity.
Cancellation Policy
If an event is cancelled, then all registration fees will be returned. However, a "rain-date" may be scheduled at the event directors discretion and your registration transferred to this new date and/or location. Should an alternative date or location be available, then registration is not refundable. Such changes in date and venue are unlikely and unplanned for, but have been known to occur due to facility or weather issues outside of our control.
The RTMA league fees ($10/team member in 2018) are non-refundable, however, cancellation policies for your state or local area may differ with regard to meet fees (the cost to run the events).
If your team size decreases after your initial registration, no refund will be available for the difference in team size. However, you may substitute new team members for removed team members but they will need to be added to your team roster and others removed. Contact the event coordinator prior to your first meet to arrange for team roster changes.
